Privacy Policy

Last updated November 2026

New Light Media respects your privacy. This policy explains what personal information we collect through our website, shop and client app, how we use it, and your choices. We handle personal information in line with the Australian Privacy Principles.

1. What we collect

  • Enquiries: your name, email, phone, organisation and event details when you contact us.
  • Shop orders: your email (and name, if given) and what you bought, so we can deliver your photos.
  • Client accounts: your name, email and password (stored encrypted), the organisations you belong to, and your plan and billing history.
  • Bookings: the events you ask us to cover, the services you choose, and any notes or contact details you give us for the day.
  • Content clients add: logos, sponsor artwork, photos, team and driver details, and information from services a client connects to the app (such as a store or data feed), used to make their graphics.
  • Fanshots: if you send a client your photos or video through a Fanshots link, we store them for that client, along with your name, social handle and email if you choose to give them.
  • Client photographers: if a client gives you an upload link, we store the photos and video you send for that client, the name, email and handle the client enters for you, and when you accepted the contributor terms.
  • Creators (photographers working with us): your name, email, camera/FTP login, the jobs you're assigned and the files you upload.
  • Payments: handled by Stripe. We receive limited details such as the card brand, last four digits and expiry — never your full card number.
  • Usage: basic technical information (such as your device and browser), a sign-in cookie for the app, and — if you turn them on — a notification subscription for your device. Your shop cart is stored only in your own browser.
  • Gallery visits: when someone opens a gallery we count the visit and where the link came from (for example Facebook). To tell visits apart we use an anonymous code made from your IP address and browser, which can't be reversed and changes every day. We don't store your IP address.
  • Photos and video: images captured at events we cover may include you.

2. How we use it

To respond to enquiries, deliver bookings and photo orders, run client accounts and subscriptions, send service emails (such as download links, receipts and account notices), keep our services secure, and improve them. We don't sell your personal information.

3. Who we share it with

We use trusted service providers to run our business, who only use your information to provide their service to us:

  • Stripe — payments;
  • our email provider — sending emails;
  • our hosting and storage providers — running the website and storing files.

Within our services: a client sees the details fans give with their Fanshots, what their photographers upload, and the visit counts for their galleries, and the photographers covering a booking see the event details and contact details needed for that job.

Some of these providers store data outside Australia (for example in the United States). We may also disclose information where the law requires it.

4. Photos of you

We photograph public events and may display photos in our shop, website and social media. If you'd rather a photo of you wasn't shown, email us at [email protected] with a link to it and we'll remove it from public view.

5. Children

Many events we cover include junior competitors, so our photos may include children. We photograph them only as part of covering the event. A parent or guardian can ask us to remove a photo of their child from public view, or from our shop, at any time — email us at [email protected] with a link to it and we'll act on it promptly.

Our client app and shop accounts are for people 18 and over, or younger people with a parent's or guardian's permission.

6. Security and retention

We take reasonable steps to protect your information, including encrypted connections and passwords. We keep information only as long as we need it for the purposes above or as required by law (for example, tax law requires us to keep financial records for several years).

To have your account and personal information deleted, email us at [email protected]. We'll delete or anonymise it within a reasonable time, apart from records we must keep by law.

7. Access, correction and questions

You can ask to see or correct the personal information we hold about you, or ask a question about this policy — email us at [email protected]. Clients can update most details themselves in the app.

If you're not happy with how we've handled a privacy concern, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

8. Changes

We may update this policy from time to time; the version on this page applies from the date shown above.
